You need the necessary administrator rights to add competences to a dictionary.
First steps
- Go to Admin - Job & competency profile - Competency dictionaries.
- Click Manage periods of the competency dictionary to which you want to add competencies.
- Click on Open tree structure
- Hover over the category to which you want to add competences. Right-click and select Add competency.
Basic information
Here you can add the information about the competence.
Fields with an * are mandatory.
Fields with a ° are visible to the employee.
| Code | Enter the code for the competency. |
| Name*° | Enter the name of the competency. |
| Start date* | Enter the date from when a competence can be used. |
| End date | Enter the date from which a competence can no longer be used. |
| Overlying competence° | This is the category in which the competence was created. |
| Sort order | This is the sorting order of the different competences in the category. Changing the sorting order is only possible by drag and drop in the competence tree. |

The fields in the right-hand side are only needed when using the training matrix.
Depending on the dictionary settings, different tabs will be visible.

If you use this competency for the training matrix, please fill in the following fields.
| Desired training | Choose a course to be taken to acquire this competence. If later on you would change the training and it is an e-learning, then all the participants of the waitinglist will be enrolled in the waiting list of the new training. |
| Period to attend training | Specify how much time the employee will be given to complete the training |
| Register root cause training too late | If you have specified a period to attend the training, you can also ask to record a reason when the training is late.

| Measurement mandatory | Indicate whether measurement (or evaluation) is also required after attending the training. |
| Type meeting | Select the type of measurement / evaluation. This list must be set in Admin - General - Drop-down lists - Measurement type competence. You need the necessary administrator rights for this. |
| Score list measurement | Select an evaluation score list. This list must be set in Admin - General - Selector lists - Default lists. You will need the necessary administrator rights for this. |
| Minimum score | If there is a test in an e-learning, what is the minimum score required to acquire the competency. |
| Period to review | Indicate how much time there is to take the measurement. |
| Register root cause assessment too late | Indicate whether it is necessary to record the reason why the assessment was late.

| Valid for (months) | Indicate how long the competence is valid, once acquired. If you fill in nothing, then once acquired, is always acquired. |
| Reminder expiry date (months) | Specify how many months before the due date the reminder to update should be set. |
Competence levels
Adding competence levels
Click "Add competence level" to add a new level.
Name*° Enter the name of the competency level.
Definition° Fill in the definition of the competency level.
Active Indicates whether the level is active and can be used.
Code Code the competency level.
Value° Indicate the value of the competency level (e.g. 1, 2,3)
Changing competency levels
Click "Modify" next to the competence level you want to modify.
Removal of competency levels
Select the competency levels you want to remove and click "Remove competency levels".
Behavioural indicators
Adding behavioural indicators
Click "Add behavioural indicator" to add a new indicator.
Name*° Enter the behavioural indicator here.
Sort order This is the sorting order of the behaviour indicator and is filled in by the system.
Edit behavioural indicators
Click Edit next to the indicator you want to change.
Removal of behavioural indicators
Select the indicators you want to remove and click Remove selected behavioural indicators.
History
By working with periods, you build history. When you create a new period, you can choose to copy the competency tree. Keep the following in mind:
- The categories are copied, when you make a change to the category, it will only be reflected in the new category.
- The competencies are also included, but these are the same competencies as from the previous period. This means that if you make a change to a competency, it will be applied to both the new and previous period.
If you want to change a competence and do not want this change to take effect in the previous period, you must delete this competence in the new period and create a new competence.
