Introduction
You can delegate your roles to a colleague in case you're absent.
Go to the section "My team" and choose the tab "Delegations". Here you will see an overview of the delegations you set up.

Adding a new delegation
Click on "Add delegation" in the upper right corner. You can choose:
- Who will receive your responsibilities/roles for the system
- A start and an end date
- What roles/responsibilities you want to delegate
- If you don't want to delegate the responsibilities for the whole team. You can choose for which employees the delegation applies. Go further down in the tree and select the employees.
In this case you don't need to indicate the top levels (roles). Please only indicate the name of the employee concerned underneath the right level (process > role).
Editing an existing delegation
In the overview, click on the delegation (the row) and you will be able to change your settings.
Deleting an existing delegation
In the overview, click on the bin at the right.
For administrators
As an administrator, you can also set or change delegations for others. Go to the admin panel - general - delegations. In the search bar, look for the person you want to add or change delegations. If you leave the search bar empty, and you click on the magnifying glass to search, you will see all delegations.
The rest of the actions you can perform are explained in the above-mentioned sections in this article. When adding a delegation you will receive an extra field "Delegated", here you put the name of the person who is delegating his responsibilities/roles.
If you want to check which delegations are active, you can generate a report. Go to Admin - General - Reports - Delegations
Conditions and rights for managers
Employees must be supervisors of at least 1 colleague to see the My Team (and therefore Delegations) option in the software. In addition, they must have the necessary rights to manage their delegations themselves.
You set these rights per user group via Admin > General > Groups, where you search for the group to which the users you want to activate delegations belong. Click Edit by the appropriate group and in the next screen go to the Permissions tab. Here, navigate to General > Delegations (*) in the tree view and check Manage delegation for manager to give the manager this option. If you want to give administrators delegation rights as well, check all the other elements.
At the very bottom of this list, click Save to save your changes.
(*) Tip: using the keyboard shortcut CTRL+F in your browser will open your browser's search window. If you search for the term "delegation" here, you will immediately get to the right item. That way you don't have to scroll through the long tree structure.
