- New functionality: employee can confirm their own presence to external training
General
As from version 8.3.0 the new lay-out for trainings has been made available. However, it will not be applied automatically and is to be activated explicitly through Admin > Training > Settings > Training catalog type.
Here you can choose:
- Old: the current (old) lay-out remains
- New: you switch to the new lay-out, including its new functionalities
- Old with new catalog: you switch to the new lay-out, without the new functionalities
Training catalog
The trainings in the catalog are shown by means of index cards, containing basic information for each training:
- language
- number of available training sessions
- duration of the training
- training type
This overview:
- has default filters for Category and Type and an Advanced Search;
- allows a click-through: behind each index card, you can find the full training details;
- is by default sorted alphabetically;
Through the "Calendar" button the sorting can be changed to chronologically (by session date) and this will show all future training sessions that have status public and active.
In both overviews the results are shown on 1 scrollable page. - Version 18 now also allows an image to be added in the admin environment, which will be displayed in the catalogue, calendar and details of a course at the front end of the application.
My team
Through Tools > Training a manager first sees the My team overview, where the column "History" has been added. Both in this column "History" as in the column "To be scheduled" the to dos for each employee are shown, if applicable.
To dos TO BE SCHEDULED:
- employee can / needs to register for a future training session
To dos HISTORY:
- evaluation to be completed for attended training
- presence to be confirmed for an external training in the past
Through the HISTORY column (by clicking on "View" or "TODOS"), a manager can navigate to the History page of a team member, where both the todos and the training history are shown.
Through the TO BE SCHEDULED column, a manager can navigate to the "To be scheduled" page of a team member.
In the new lay-out of this overview we have following subdivision:
- Action required: the employee can take action himself.
- Waiting list: the trainings for which the employee is on a waiting list. The employee can't take any action himself for classical trainings. The e-learnings can be started from here.
- To be scheduled by trainer or training coordinator: the employee can't take any action himself.
New functionality: employee can confirm own presence to external training
General: functionality and possibilities
This functionality is only available when under Admin > Trainings > Settings the Training catalog type is set to "New".
If an employee was subscribed for an external training, and this training is in the past, the employee can register their own presence.
As soon as the date of the training has passed, a task is created on the dashboard (attendance to confirm). Through this task the employee will be redirected to the page Training > tab History.
On that page the employee can:
- confirm presence by means of the check box
- upload a presence attestation (optional)
(when the attestation has been uploaded, a paperclip icon is shown through which the document can be consulted by employee and manager) - complete the evaluation (if applicable)
Confirming a presence is possible in 2 different ways:

with the check box on the left:
presence is confirmed for the complete training -
with the pencil on the right (training details):
in the training details the employee can specify for which days they were present or not, if the training was spread over more than 1 day (*)
Required user rights:
- To be able to confirm a presence: "Update external training session"
- To be able to upload a presence attestation: "Upload presence attestation"
Notes:
(*) This is only possible when under Admin > Training > Settings the parameter "Register presence per day" is active.
New functionality v18
The course details page has a new layout with an overview of all possible sessions for which one can register:
If you want to edit the session, click on the pencil icon on the right. If you want to edit the course itself, click on the course link. You can also manage participants via the pencil icon next to the session; this is done at session level.
Applications for courses not listed in the catalogue/external courses
Applying for a course from the catalogue or an external course is now done in a new wizard. As a manager/training coordinator, you can register multiple employees in the same application, including for external courses. Registering informal courses is done in the same new wizard.
