Several scenarios are possible for determining the deadline for a competence of a person in the "training matrix/competence management".
The initial deadline date will only be set when a person is associated with a role that contains the particular competence. But also when a person is already linked to a role and a competence is subsequently linked to that role.
To determine the deadline, we take into account a number of values and various scenarios are possible based on these values.
Competence is not yet acquired
If the person has not yet acquired the competence when it is linked to him, it will receive the status "Training needed".
The deadline date will be calculated based on the following values:
- "Period to follow training" on the competence
- "Approval date" on the training
If at least one of the two values has not been entered, the value from "approval date" on the training will always be taken as the deadline date. In the example below, we assume that "period to follow training" is empty.
- "Approval date" on the training = empty --> no deadline date
- "Approval date" on the training = 25/02/2021 --> deadline date is 25/02/2021
If the value "approval date" on the training is empty and the value "period to follow training" is filled, there will be no deadline date.
If both values are filled, there are two possible scenarios.
- "Approval date" on the training + number of months/days from "period to follow training" on the competence is smaller than the current day --> deadline date is current day + number of months/days from "period to follow training".
- "Approval date" on the training = 01/01/2020
- "Period to follow training" on the competence = 12 months
- Current day = 27/01/2022
- Deadline date = 27/01/2023
- "Approval date" on the training + number of months/days from "period to follow training" on the competence is greater than the current day --> deadline date is "approval date" on the training" + number of months/days from "period to follow training" on the competence.
- "Approval date" on the training = 25/02/2021
- "Period to follow training" on the competence = 12 months
- Current day = 27/01/2022
- Deadline date = 25/02/2022
Competence is acquired
If the person has acquired the competence when it is linked to him, it will receive the status "Training needed".
The deadline date will be calculated based on the following values:
- Highest expiration date that the person has on the acquired competence
- "Period to plan assessment" on the competence
If the value from "period to plan assessment" on the competence is empty, the value from "highest expiration date that the person has for the acquired competence" will always be taken as the deadline date.
- Highest expiration date that the person has on the acquired competence = 18/04/2023 --> deadline date is 18/04/2023
If the value from "period to plan assessment" on the competence is filled, that value will always be added to the value from "highest expiration date that the person has for the acquired competence" to determine the deadline date.
- Highest expiration date that the person has on the acquired competence = 18/01/2022
- "Period to plan assessment" on the competence = 12 months
- Current day = 27/01/2022
- Deadline date = 18/01/2023
