General
- You need admin rights to allocate budgets.
- In Admin - Training - Settings, under the Budget field you need to choose whether to allocate budgets based on organisational unit (departments) or per employee. It is not possible to combine both options.
Define period
- Budgets are set for a specific period. You can decide which period you wish to work with. The period you set is the same for the whole organisation.
- Go to Admin - Training - Periods training budget
- Click on Add period training budget. You can give the period a name and set a start and end date.
Allocate budgets based on department
- If you have chosen to allocate budgets based on department, go to Admin - Training - Training budget.
- At the top right, you will see the period for which you set the budget. You can use the arrows to move to other periods or you can create an additional period.
- Make sure the Individual button is highlighted. Click Change and set the budget. You can define the budget in terms of training days, salary cost or training cost. You can also enter only one of these three.
- If you click the accumulated button, you will get another view, but you cannot make any more changes.
- If you want a state of affairs, you will find a report at Admin - Training - Reports - Training budget
- The manager also has a Reports tab under the Training heading to track the budget. (This is a right that needs to be granted, it can be determined which sections Training Cost, Training Days and/or Payroll Cost are shown) and under the Reports section an Excel with detailed budget info can be downloaded. Allocate budgets based on employee
- If you have chosen to allocate budgets based on employee, go to Admin - Training - Training Budget.
- You choose Download Budget so that you have the template to fill in and load afterwards. Download the template of the correct period.
- In the Excel, fill in the budget for the employees. You can allocate budget in terms of training days, salary cost or training cost. You can also fill in only one of these three. Fill in the appropriate columns (Budget (training cost), Budget (training days) or Budget (hourly wage cost)).
- Return to the system and now go to Load Budget. Choose your completed Excel and upload this file.
- If you want a state of affairs, you can download the Excel again and see how much has already been used up and how much budget remains.
Training types
In Epowerhr we know 3 main types of trainings:
- catalogue trainings
- external trainings
- informal trainings
Only the catalogue and external trainings are taken into account for the training budget. Informal trainings are not.
Training status
For the budget, we only take into account those trainings for which the employee has status participated, subscribed, approved, requested or absent.
Statuses "not approved" and "cancelled" are NOT used in budget calculation.
