General
- A training is the information on the course.
- A training session is one instance of the training.
If you have a course of three days than this means you will have one training session with three days. If this course is organized two times, you will have two training sessions each of three days.
First steps
Go to Admin - Training Catalogue and click on Add Training. A screen with different tabs opens.
Fields with a * are required. Fields with a ° are visible to the participant if training is active and public.

| Code* | Choose your own code or you can click on Suggest unique code and the system will provide a code. |
| Name*° | Enter the name of the training |
| Type |
Enter the type of a training (e.g. e-learning, classroom, on-the-job, etc.). This list must be set up in Admin - General - List - Training type. You need the necessary administrator rights for this. |
| Session management* |
You have two options: - Centralized: this means that an administrator creates sessions. A participant can only be added to a session - Decentralized: this is for on the job trainings. The manager or training coordinator choose when the training will take place. (Can be used in the training matrix) |
| Automatically subscribed | When the request is approved the status of the participant will be automatically set to Subscribed. |
| Automatically participated | When the end date of the session has passed, the status of the participant will be automatically set to "Participated". |
| Category*° |
Choose the category to which the training belongs. See also Manage training categories. |
| Number of days | Enter the number of days of the training. |
| Number of hours* | Enter the number of hours of the training. This will be used in the social balance. |
| Participant cost*° | Enter the cost of a training for a participant. |
| Keep outside budget | If you work with budgets, you can decide that this training will not be deducted from the budget. |
| Active | The training is still in use. |
| Public | The training is visible in the training catalogue for employees. |
| Approval date |
If you use the training matrix, this date indicates from what date on this training is used? in combination with the field period to follow the training on the competence the deadline to follow the training is calculated for an employee. e.g. Approval date is 01/01/2019 and the period to follow the training is one month, then the deadline will be 01/02/2019. If you add a person to a role on 01/01/2020, then calculated deadline is before today and the system will calculate the deadline differently: current day + period to follow the training. |
| Training expectations |
What questionnaire should be sent out to analyse the expectations the participant has of the training. |
| Evaluation |
What questionnaire should be sent out to the participant after the training to evaluate the training. |
| Effectiveness evaluation |
What questionnaire should be sent out to the participant after the training to evaluate the effectiveness of a training. |
| Training supplier |
Choose the supplier from the drop down. This list must be set up in Admin - Training - Suppliers. You need the necessary administrator rights for this. |
| Training owner | Enter the person who is the owner of a training. If you set up automatic mails, this person will receive mails concerning the training. (e.g. cancellation mails) |
| Record owner* |
By default, this is the creator of the record (training) in the system. See also Record owner of a training |
| Session cancellation (#days before start training) |
On a session you can determine the minimum number of participants. You can set up a message that will be sent to the owner of the training x number of days before the training session if the minimum number is not reached. You enter the number of days here. (Click here for more information on messages) |
| Targeted audience° | Enter for which target group this training is meant. |
| Info° | Enter information on the training. |
| Required knowledge° | If certain knowledge or skills are required in order to be able to follow the training, you can enter such data here. |

Certificate |
Choose which certificate should be generated. This list must be set up in Admin - General - List - Training certificate. You need the necessary administrator rights for this. |
Create certificate |
Choose if the certificate may only be created when the participant obtains a certain score or if participating is sufficient to receive a certificate. |
Required trainings
If the participant - before participating in this training - needs to follow another training, you can here add the catalogue training(s) they first needs to follow.
This information is not visible to the participant and will not prevent them from subscribing.
When someone adds participants through the admin module, for a training that has other required trainings, the application gives a warning (in red) when de required trainings have not been followed. This is, however, not blocking the participant from being added.
When adding a participant through "Advanced search", we will show a column "Has followed required trainings" if this training has other required trainings. You can sort the results list by this column.
Here as well, this is not blocking the participant from being added to the training session.
Competences
Add the competences that participants will develop during the training. You can only choose competences that you first have added to the competence dictionary. (Only available if you also have the module Job & competence profiler).
The added competences will be visible in the training catalogue. An employee can click on it for more information (Definition).
Populations
You can restrict the visibility of trainings. By adding a population, the training (if active and public) will only be visible to members of the population. You can only add populations that you have already created in the section Populations.
To create new populations:
- Go to populations. There you can create a population by adding a code, a name, a description.
- By using rules you can determine which employees should be a member of the population.
Attention: while creating a rule (after defining Field, Operator and Value) you need to confirm and save these parameters by clicking the "Insert" button at the left. - If you want to see the members of a population:
- Go to the overview of populations
- Export the results to Excel
Attachments
You can add attachments to the training (e.g. a brochure of the training). These will be visible to the participant.
Training sessions
Here you can see the waiting list and all active sessions. You can edit or delete training sessions. You can create a new session by clicking on Add training session. If you also want to see non-active sessions, click on All sessions.
