The planner role is intended for HR staff or administrative users who manage leave for one or more teams, without being the direct line manager of those employees.
A planner is linked to one or more organisational units. All employees belonging to those units automatically fall within the planner's scope. This allows a planner to maintain an overview of a broad group of employees, even if they are spread across multiple departments.
The difference with a manager is that a manager's scope is determined by the reporting line, whereas a planner's scope is explicitly configured per organisational unit.
Requirements
- The necessary permissions must be assigned to the users who will take on this role.
- The organisational unit must be linked to a planner (group). This is a role on the organisational unit.
- The "Leave & Absence" module must be active within your environment.
Using the Planner role
Go to "Leave & Absence". As a planner, you have access to the following sections:
Team Overview
The team overview shows a summary of all employees within your scope. Go to "Leave & Absence" → "Team".
The overview contains the following information per employee:

| Name | The name of the employee. |
| Job title | The employee's current job title. |
| Available holiday days | The total number of holiday days the employee is entitled to. |
| Remaining holiday days | The remaining leave balance still to be taken. |
| Next absence | The date and type of the next planned absence. |
Team Calendar
The team calendar provides a visual timeline overview of all absences within your scope. Go to "Leave & Absence" → "Team Calendar".
From the team calendar you can:
- View the planned absences of all employees in a single overview.
- Cancel approved leave requests where needed.
Leave Requests
As a planner, you can view, approve, or decline leave requests from employees within your scope. Go to "Leave & Absence" → "Requests".
| Action | Description |
| Approve | The request is approved and the employee receives a confirmation. |
| Decline | The request is declined. You can provide a reason that will be communicated to the employee. |
Reports
Planners with the appropriate permissions have access to two reports. These reports appear under the "Reporting" section, provided the correct permissions have been configured.
